This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our AI voice check-in and interview services.

2.1 Information You Provide to Us

We collect information that you provide directly to us, including:

• Account information: name, email address, phone number, company name, and password
• Profile information: job title, professional background, and preferences
• Interview data: candidate information, interview recordings, transcripts, and evaluation notes
• Try It Now demo data: your name, email address, optional company name, voice input, transcript, and AI-generated check-in report
• Communication data: messages, feedback, and support requests
• Payment information: billing address, payment method, and transaction details

2.2 Automatically Collected Information

When you use our services, we automatically collect certain information, including:

• Device and connection information, such as IP address and browser type
• Server log data, such as access times and requests made to our services
• Essential cookies required to keep you signed in and to operate the service

We use the information we collect for various purposes, including:

• To provide, maintain, and improve our services
• To process your transactions and manage your account
• To conduct AI voice interviews and generate candidate reports
• To verify your email, conduct a Try It Now voice check-in, generate its report, and email the report to you
• To send you technical notices, updates, and support messages
• To respond to your comments, questions, and customer service requests
• To monitor and analyze trends, usage, and activities
• To detect, prevent, and address technical issues and security threats
• To comply with legal obligations and enforce our terms
• To send you promotional communications (with your consent)

We do not sell your personal information. We may share your information in the following circumstances:

4.1 Service Providers and Subprocessors

We rely on trusted third-party service providers to operate our platform. Because our service conducts automated phone and voice interviews and generates reports, some candidate information is processed by these providers solely to deliver the service. These providers fall into the following categories:

• Cloud hosting and storage providers that run our application and store data such as uploaded resumes
• Telephony and voice providers used to place and conduct phone and voice interviews
• AI and speech-processing providers used to conduct interviews and generate transcripts and reports
• Email delivery providers used to send verification, notification, and account messages
• CAPTCHA, fraud-prevention, and security providers used to prevent automated abuse
• Payment processing providers used to handle billing
• Analytics providers, including PostHog, used to understand product usage and the Try It Now funnel
• Advertising and session-replay providers used on our public marketing pages to understand how visitors find and use those pages

These providers are authorized to use your information only to perform services on our behalf and are required to protect it.

During a Try It Now check-in, your voice input is sent to our voice, speech-processing, and AI providers so the conversation can be transcribed and the requested report can be generated. We do not use Try It Now transcripts or reports to build an organization knowledge base.

4.2 Legal Requirements

We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, property, or safety.

4.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

4.4 With Your Consent

We may share your information with third parties when you have explicitly consented to such sharing.

We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

• Encryption of data in transit, and encryption at rest provided by our cloud infrastructure
• Strong one-way hashing of account passwords
• Role-based access controls that limit data to your organization
• Rate limiting and automated abuse protection on sensitive endpoints
• Hosting on managed cloud infrastructure with physical and environmental safeguards

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Depending on your location, you may have certain rights regarding your personal information:

• Correction: Request correction of inaccurate or incomplete data
• Deletion: Request deletion of your personal information

We retain your personal information for as long as necessary to provide our services and fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

Account data is retained while your account is active. When an account is deleted, its associated records, such as interviews, candidates, and reports, are removed along with it, except where we are required to retain certain information to meet legal obligations. To request deletion of your data, contact us at support@reechout.com.

For Try It Now, an unverified or otherwise pending submission, including the name, email address, optional company name, and verification records, is retained for up to 24 hours. After you verify your email, the demo lead, check-in transcript, generated report data, and related processing records are retained for up to 30 days and then deleted. We may retain limited records for longer where required by law, security, fraud prevention, or enforcement of our terms.

We use cookies and similar technologies that are essential to operating and protecting our service, including to keep you securely signed in, maintain account and check-in sessions, and prevent automated abuse. These technologies are necessary for the relevant features to function.

On our public marketing pages we also use analytics and advertising technologies, including Google Analytics, the Meta (Facebook) Pixel, and Microsoft Clarity, to understand how visitors find and use ReechOut and to measure the performance of our advertising. Google Analytics is provided by Google LLC, the Meta Pixel by Meta Platforms, Inc., and Microsoft Clarity by Microsoft Corporation. Google Analytics and Meta may set cookies; each provider receives limited information, such as the pages you visit and your interactions. We do not run these technologies on authenticated areas of the product.

Microsoft Clarity additionally records how visitors interact with our public marketing pages, including mouse movement, clicks, scrolling, and the pages viewed, so that we can see which parts of those pages are working and which are not. We configure Clarity with advertising and analytics storage denied, so it operates in cookieless mode, but it still sends this interaction and page data to Microsoft. Content you type into form fields and the options you select are always masked and are never uploaded. This recording does not run on authenticated areas of the product, the candidate interview and check-in flows, or any page reached from an invitation or check-in link.

We use PostHog on parts of our product and on Try It Now to measure product usage and completion of the demo flow. Form inputs are masked, and session recording is disabled during voice check-ins. We do not send voice audio or transcript content to PostHog.

You can instruct your browser to refuse or remove cookies. However, if you do not accept our essential cookies, you may not be able to sign in or use portions of our service.

Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children under 18. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately.

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. We ensure that appropriate safeguards are in place to protect your information in accordance with this Privacy Policy.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date. You are advised to review this Privacy Policy periodically for any changes.
